This Privacy Policy explains how VIREON AI ("VIREON AI", "we", "us") collects and uses personal information when you use our website and platform at https://www.vireonai.uk and related services.

Who we are

VIREON AI provides property energy intelligence software primarily for property owners, landlords, investors and organisations in the United Kingdom. For privacy enquiries, contact us at privacy@vireonai.uk.

Information we collect

  • Account information — name, email address, phone number and organisation details when you register or are invited to a workspace.
  • Property information — addresses, property characteristics, EPC-related data and documents you choose to store in the platform.
  • Transaction information — product purchases and payment status processed through our payment provider (we do not store full card details).
  • Technical information — device, browser and usage data needed to operate and secure the service.
  • Product waitlist enquiries — the email address you submit when you ask to join a waitlist, and the product or service you expressed interest in (for example the Property Intelligence Report, Professional Engineering Report, or Transformation Plan).

How we use your information

We use personal data to:

  • Provide and improve the VIREON AI platform
  • Process orders and deliver purchased services
  • Manage your account, organisation and team memberships
  • Communicate about your account, orders and service updates
  • Record a waitlist request and communicate with you about availability of the specifically requested product or service
  • Maintain security, prevent fraud and comply with legal obligations

Joining a product waitlist is a request about that specific service. It is not consent to unrelated or general marketing. We will not add waitlist enquiries to a general marketing list on the basis of that request alone.

Automated outputs and estimates are produced to help you understand property-energy opportunities. They are decision-support only — not certified surveys, formal EPC assessments or engineering approvals.

Legal basis (UK GDPR)

Depending on the activity, we rely on:

  • Performance of a contract — to provide the service you request
  • Legitimate interests — to operate, secure and improve the platform
  • Legal obligation — where we must retain or disclose information by law
  • Consent — where we ask for it separately (for example optional marketing)

Sharing and processors

We use trusted service providers for hosting, authentication, payments and email delivery. They process data only on our instructions and under appropriate agreements. We do not sell your personal data.

International transfers

Where data is processed outside the UK or EEA, we use appropriate safeguards such as standard contractual clauses or equivalent protections.

Retention

We keep personal data for as long as your account is active and as needed to provide the service, resolve disputes and meet legal requirements. Waitlist enquiry records (email, requested product or service, and related timestamps) are kept while the request remains relevant to communicate about availability of that service, and for a reasonable period afterwards so we can answer follow-up questions and meet lawful retention limits. You may request deletion subject to those limits.

Your rights

Under UK data protection law you may have the right to access, rectify, erase, restrict or object to processing, and to data portability where applicable. You may also lodge a complaint with the Information Commissioner's Office (ICO).

Security

We apply technical and organisational measures including encryption in transit, access controls and tenant isolation. No online service can guarantee absolute security.

Changes

We may update this policy from time to time. Material changes will be communicated through the platform or by email where appropriate.
